What implementation means here

Implementation of legal document automation means getting three things right: the firm’s users and permissions, the firm’s drafting style, and the firm’s data protection position. Nothing else in a rollout matters as much, and none of the three takes long.

Because LegalDocs Assist works from documents your team uploads rather than from a database sync, there is no migration and no integration prerequisite. That is the difference between a rollout measured in days and a case management project measured in months.

A single practice area module is normally live within a week, with the first real files drafted in the same week as the training.

The sequence, week one

Day 1: accounts and permissions

We create the firm, invite users in bulk from a spreadsheet, and set roles. Handler, senior, manager and firm admin see different things, and a firm admin can suspend or reset a user without contacting us.

Day 1: data protection pack

Your COLP or DPO receives the data processing agreement, the security and compliance overview, the sub-processor register and the DPIA screening. This is usually the longest item, so it starts first.

Day 2: house style

A half day with the head of department to set section coverage, paragraph numbering, target length and signature blocks. Bring two or three exemplar statements you are happy with.

Day 3: training

One hour, live, on your own claim types. The documents-led flow, the confirm step, the compliance checks, and what to do when the evidence is not there.

Days 4 and 5: first live files

Two or three fee earners run genuine files with us on the call. This is where house style gets its final tuning, on real output rather than in the abstract.

Week 2 onward: review

We look at the firm usage report together: which tools are being used, where drafts are being abandoned, and which documents still take too long to review.

Who you need involved

  • Head of department, to own house style and to say what a good statement looks like.
  • Two or three fee earners who draft contested documents weekly, as the pilot group.
  • COLP or DPO, for the data processing agreement and the DPIA screening.
  • One firm admin, to manage users, licences and feature access after go-live.
  • IT involvement is minimal. It is a browser application with no install.

How to run a pilot that tells you something

Choose one document type and one practice area. Run ten real files through it, not sample data, and record two numbers on each: minutes of fee earner review, and any fact or authority you had to correct.

Compare against your current baseline for the same document type. If you do not have a baseline, spend the first week measuring the old way before you change anything, because a saving you cannot evidence will not survive a budget conversation.

Have the reviewer, not the drafter, score quality. The person who signs the statement of truth is the person whose opinion decides whether the rollout continues.

What tends to go wrong

  • Skipping house style, then blaming the draft for reading like someone else’s firm.
  • Piloting with the wrong people, so nobody tests the documents that matter.
  • Leaving the DPIA to the end and stalling go-live for a fortnight on paperwork.
  • Uploading a thin file and expecting a full statement. Missing evidence is flagged, never invented, which is the point.
  • Measuring nothing, so the review meeting turns on opinion instead of numbers.
